Direct Support Professionals: The key to accurate information

One of the key features of the Therap system is that it collects data directly from the people who work with people with disabilities: Direct Support Professionals, nurses and clinicians. This way data does not have to be collected twice as it often is when people fill out paper reports and someone else enters it into a central system. The Therap applications are designed to make documentation quick and easy at the point of service. Data errors can be caught before they are submitted so that time is not wasted later on with reports being returned because a box was not checked or information was missing.

Not only does this make sure that administrative and clinical staff are getting good, quick data, but also empowers direct support staff by letting them know that their agency values their input and means to act on the information obtained.

Once the data is in the system, reports can be produced and analyzed instantly from anywhere by staff members with the appropriate authorization. No more waiting until the end of the month or quarter to find out what progresses have been made. This also highlights areas where more staff training or support is needed. So, by using the Therap system, you are showing your Direct Support staff that you recognize and value their input.

Jayvon Nesmith is a Program Instructor for Marrakech, Inc of Woodbridge, Connecticut and is currently working with their New Haven Day Services. Jayvon has been working for Marrakech for about two years, between their VAST (vocational skills) and LEAP (life enrichment) programs. He describes his job as helping the people he supports enhance their skills and independence while reaching out to engage with other community members and building relationships.

Jayvon was shown how to log onto the Therap website by his supervisor. “After that I was able to find my way around the system quite easily as it tells you what to do next and reminds you when anything is missing.”, - said Jayvon. “This is much easier and quicker than the old paper forms.” He also prefers the Therap system over the old paper process because this is more accurate and produces a much more professional looking document to go in the record. There are still some paper processes out there. He is hoping that Therap will find automated solutions for these as well.

Individual Service Plan: Acknowledge

Therap’s Individual Service Plan application is an extremely flexible and powerful tool to help providers track teaching strategies, guidelines, and services for the people they support. You can define a teaching strategy based on a task analysis and choose how to record data (by prompt level, completion, yes/no, or custom scoring). Data can only be entered according to the scoring system. Staff can then enter data either each time the program is implemented or using a monthly grid. The system then calculates baseline data and measures progress compared to the baseline scores and previous periods.

The system can also be used without the scoring feature to track how often a particular service is provided, who provided it and how long it took. The program saves comments from the provider or consumer. Reports can be obtained with a few clicks and exported to Microsoft Excel for further manipulation.

For all ISP programs entered into the system, staff can only enter data once they acknowledge that they have read and understood the program. If the program is updated, staff will have to re-acknowledge. This way, the program minimizes the risk of erroneous data being entered by users who are not familiar will the objectives and scoring methods defined in the implemented program.

Q: Why don’t I see all the new applications on my FirstPage?
A:
A particular Therap application area containing links to its various options appears on your FirstPage only when a data administrator at your agency assigns you the role(s) required for that application. It is this ability to control users’ access to various application features and secure data that makes Therap as powerful and HIPAA compliant as it is.
