Therap Billing Support

The Billing Support module keeps information about funding sources, billable services provided to individuals, and the required service authorizations. In addition to preparing bills for services provided to individuals, the module gives users the option to view all billing information in a summarized form of choice.

Billing with Therap involves the following:

Creating and Managing Service Authorizations:
Service Authorizations act as the liaison between the funding source and services provided to an individual. Users with the Service Authorization Submit role create Service Authorizations by entering the following information to allow the system to track the services: service description, unit of measure, unit cost, total billable amount, Procedure Modifiers, Primary Diagnosis Codes, and Diagnosis Code Pointers for services. Users with the appropriate roles are able to approve, reject and update these Service Authorizations. With the proper Service Authorizations in place, funding sources can be billed for one or more services provided to an individual. There can be multiple Service Authorizations for any given individual.

Tracking Billing Data:
When a Service Authorization has been approved, staff members with the Billing Data Submit role can enter billing records for the authorized services. Entering billing records start with clicking on the Billing Data input link in the Billing Data Input area on FirstPage. Users then use the billing data input search option to locate the appropriate billing input. The billing input page shows all relevant information about the Service Authorization for the individual including remaining number of service units and the amount of Service Authorization in dollars. Staff can enter relevant billing information including service dates, number of billable and non-billable service units and other relevant information. Once data entry has been completed, the billing record is submitted for approval. Users with appropriate roles are able to update and approve submitted billing records. Users with the Billing Summary Report role will be able to produced Billing Summaries and export them to Microsoft Excel for further analysis.

Submitting Claims with Electronic Billing:
Users can create and send professional claims for a single or multiple individuals and for one or more of their service lines. Claims are submitted under a Billing provider and sent directly to Medicaid. Users can also view the status of their claims as to whether they have been accepted.

Application Focus
Attendance

The Attendance module is used to record daily attendance of individuals in their corresponding programs in accordance with the Billing Support module. The module is designed to assist in generating the necessary billing data. Like other Therap applications, Attendance will support multilevel access privilege for administrators, submitters, approvers, updaters and viewers.

Attendance Types and Codes are set by the Provider Administrator. A user with Attendance Submit role can then make the attendance entries for individuals who have specified Attendance as the Method of Data Collection in their Service Authorization. The Attendance Record page is color coded for easy viewing – in-prep entries have a blue header, approved entries are green, and billed entries are orange.

Approved Attendance data can be updated by users with Attendance Update role and the previous version is then archived under the Archived Data section. These are also available as Update History from each modified entry on the Attendance Record page. The Display Printable option will generate an attendance record sheet that fits seven days onto one page.

What is the function of two sets of Begin Date and End Date in the
Billing Data Input Search page?

The begin and end dates on Billing Data Inputs indicates the time span of the service being billed for. While using Billing Input Search to prepare billing summaries, users may want to look at all services beginning (or ending) within a particular period, for example, within a week. It may also happen that a user has forgotten the exact dates. That is why two fields have been provided for 'Begin Date From' and 'Begin Date To' in the Billing Data Input Search page to specify a range to search for instead of a specific date. The same procedure applies for 'End Date From' and 'End Date To'.

Please note that all these fields in the Search page are optional. To see all records, simply click 'Search' without entering any criteria.
