Release Notes, User Guides and Preview of Therap 2012.0

Therap is buzzing at the moment with excitement and action as we prepare for the coming year and the release of Therap version 2012.0.

As the number of agencies using Therap expand, we are learning more and more about developmental disabilities services industry and improving our system in order to provide an efficient documentation solution, that complies with industry standards such as CCHIT and HIPAA. We hope you find the upgrades helpful and look forward to your feedback.

Last week for early bird registration to CA and FL conferences

The regional conference in San Diego, California is taking place in three weeks, from December 7-8, 2011. This means that there’s less than one week left for early bird registration, which will be closing next Wednesday, November 23. Registering before that will get you a discount on fees.

Conference highlights will include:

  • Hands-on training on different Therap modules including Individual Services Plans, Health Tracking and communication logs (T-Logs)
  • Sessions on Therap Electronic Medication Administration Records (MAR)
  • Risk assessment using Therap’s Individual Plan of Protective Oversight and Safeguards (IPOP)
  • Therap Training Management System (TMS)

As always this will be an opportunity for prospective users to learn more about Therap’s web-based products and services for the developmental disabilities community.

This is also the last week for early bird registration to the regional conference in Kissimmee, Florida taking place from December 6-7 this year. In addition to usual training intensive sessions, the conference will include a number of sessions on nationally significant topics such as CCHIT and the meaningful use of Electronic Health Records (EHR).

Creating Medication History for an Individual

The Medication History section in Therap’s Health Tracking module is used to keep records of medication(s) given to Individuals in developmental disabilities.

An individual’s medication history can be recorded the following way:

  1. Click the ‘New’ link under the Medication History section on the Health Tracking area on your FirstPage.
  2. Select the appropriate program for entering medication from the list of programs available.
  3. The Medication History form will open. On ‘Section 1 – General Information’ section of this page, select the individual for whom you want to add medication from the ‘Individual Name’ dropdown list. When you do this, a link will appear which will allow you to a list of medications prescribed for this person.
  4. On ‘Section 2 – Use the drug look up feature which lets you get detailed information about a drug from the First DataBank database. You can add medications directly from this list.
  5. You may also enter other information, such as dosage, measurements, frequency and side effects.
  6. Enter the date when the medication will start.
  7. Once you have finished adding information click the ‘Submit’ button at the bottom of the page to submit the form. You may use the ‘Save’ button if the form has not been fully completed and needs to be saved for later use. Please note that you must enter all the information in the fields that are marked with an asterisk (*).

Medication History

Printing “follow up” T-Logs/Progress Notes

T-Logs support a ‘follow up’ mechanism that allows users to create a thread/chain of log entries on a particular issue. All T-Logs within a thread can be accessed from any one of linked T-Logs. This is particularly useful in situations that needs daily monitoring and progress notes.

It is possible to print all T-Log entries within a particular thread in Excel format. This is how this can be done:

  1. Click on the ‘Search’ link in the T-Log area of your FirstPage. This will take you to the T-Log Search page.
  2. Enter the name of the individual whose T-Logs you want to print. You may enter other search parameters such as Program Name and Type among others to narrow down your search result. Next, click on the Search button.
  3. This will give you a list of T-Logs based on your search parameters. You will find an ‘Export to Excel’ link at the bottom of the list. Clicking on this link will export the list to Excel. On the Excel report you will get Form ID, Created By, Summary, Description, and Date columns among other information.
  4. Next, select the entire row with the headings on the table.
  5. Then, click on the ‘Data’ menu at the top of the Excel sheet. Put your mouse over the ‘Filter’ option and select ‘Auto Filter’. This will add small dropdown menus to each column header.
  6. Go to the Summary heading and click on the arrow dropdown. This will show you a list of the different T-Log summaries for the individual. Select the summary for the T-Log you want to print from this list. You will get a list of the T-Log and the follow-ups having this summary.
  7. Please remove the columns that you do not need by right-clicking on the column header at the top and selecting
    ‘Delete’ from the context menu.
  8. You can then print the report from the File menu.

Therap 9.1: Unified System for Multi-provider Settings

Therap 9.1 is just around the corner and its going to be huge, especially for users who work in multi-provider settings – in the coming version, ‘parent’ and ‘child’ provider accounts are being brought under the same unified system. What this essentially means that keeping track of records at multiple agencies just got easier and more efficient. Here is a sneak preview on what is to come within a couple of weeks –

Single login to access parent and child provider accounts: Users working with records at multiple providers (parent provider users) will be able to access all information from within a single account, using a single login. This is also true for State users who will no longer use a separate login page to gain access to the State system. Authorized users will have access to the State system from within their regular Therap accounts.

Unified FirstPage: The unified system will show a unified view of the Therap FirstPage, which will allow them to view T-Logs (progress/shift notes) and General Event Reports (incident reports). Users will be able to get to the FirstPage screens of child providers just by switching providers from a drop down list.

Individual Intake/Referral: Parent provider account administrators will have the option to handle individual intake from a new area on their provider admin FirstPage.

During the intake process, the individual will be given a unique ID (‘Assigned ID’), which will be the underlying link between that individual’s records maintained at different ‘child’ providers.

Users at the parent provider or the State will have the option to send referrals for an individual to one or more child providers under it.

Option to create Provider Admin accounts: Now, provider agencies have to contact Therap to open new provider administrator user accounts. In 9.1 Provider Admins at agencies will have the option to create and manage new provider administrator accounts for the agency.

Health Passport Updates in Therap 9.0

  • In Therap 9.0. List of Active Diagnoses for an Individual will appear on the Health Passport for reference.

  • Check box images are now shown under “Major Safety Issues & Risk Factors” when Health Passport PDF is generated.
  • Health Passport PDF

  • Users will now get the option to generate Consultation Forms from the Health Passport page.
  • Users can now view the approved eCHAT forms directly from the Health Passport page.
  • Users will be able to view Social Security Number (SSN) of an Individual in its full form, rather than only the last 4 digits, on the Health Passport page.

New in Lab Test Results

We have added two new sections under Lab Test Details: ‘Normal Range’ and ‘Abnormal’.

While entering Lab Test results, Users can now refer to the normal range and mark unusual results as ‘Abnormal’.

Vital Signs Reference Table in 9.0

Individual care has become more effective with the new Reference Table indicating the Normal Range for each Vital Sign. If any Vital Sign value is outside the normal range a message saying ‘Outside Range’ will automatically appear and the notification level must be set to ‘High’ before submitting the form.
