General Updates

  • Users will now be taken to the Billing Data page directly from the Billing Data Search page. Previously, users needed to click on the Updatelink under the ‘Billing Information’ section on the Billing Record page to view the Billing Data. Now, users just need to click on the particular entry on the Billing Data Search page to view/update the Billing Data.

  • Multiple Services added to a Service Authorization form will now appear separately in different rows on the Service Authorization Searchpage.The following fields have been added to the Service Authorization Search page: Service Code, Service Description, Unit of Measure, Unit Rate($), Number of Units defined in the Service form, Remaining Units from the Total Billable units of a Service, Procedure Modifiers, Primary Diagnosis Code, Diagnoses Code Pointer, Method of Data Collection and Prior Authorization Number.

  • An additional ‘5 Minutes’ option has been added to the ‘Unit of Measure(Calculation)’ field under the ‘Automatic Unit Calculation From Time In/Out’ section on the Service Description/Code page.

  • An ‘Attendance Type Archive’ option has been added for Attendance types under the ‘Billing’ Section of the Admin module, enabling users to view the archived (versions) of the Attendance types.

  • The ‘Use Time In/Out for calculating billable unit’ field has been renamed to ‘Use Time In/Out’ on the Attendance Type page.

  • A new option has been added for using total duration of the day for calculating billable unit. When user selects ‘Yes’ for using Time In/Out while calculating billable unit from the Attendance Type page, a new field named ‘Use Duration’ will appear. Users may either select ‘For the whole day’ or ‘For each session’ for this option. When ‘For the whole day’ option is selected, the system will sum up the total duration (Time In/Out) of the service provided for the entire day and then apply the rounding algorithm to determine the billable units. When the ‘For each session’ option is selected, the system will calculate the billable units for each session of the service provided separately and then sum up the billable units to determine the final total billable units, as it used to prior to this release.

  • A ‘Validation (If billable units exceed)’ field has been added under the ‘Authorized Units Per Period’ section of the Service Form. There are three options that users can select to validate billable units that exceed the maximum number of units defined per period. 
    • Users may select the ‘Ignore (Create billing data with calculated units)’ option to ignore the number of billable units that exceeded the maximum number of units defined and continue generating billing data with the exceeded billable units. 
    • Users may select the ‘Use available (Create billing data with available remaining units)’ option to use the remaining number of billable units available to generate billing data. The billable units that will exceed the maximum number of billable units defined will be considered as non-billable. 
    • Users may select the ‘Restrict (Do not create any billing data)’ option to restrict generation of billing data for billable units that will exceed the maximum number of billable units defined.

  • With this release users will be able to add ‘Discontinued’ ISP Programs to Service Authorization.

  • A new claim status Pending will be available with this release. Users may manually change the status of a claim to ‘Pending’ from the ‘Manual Claim Status Tracking’ section of the claim form.

Users are able to search claims using the ‘Pending’ status as a search parameter.

The Total Billable Units can now be set to 0.00 while creating a new Service form or updating it when billing data has not been generated for the particular Service. This allows users to define a Service as non-billable.

Updates in ISP Billing 

For generating Billing Data with ISP, if the user selects ‘Bundle for Date Range’ under ‘Bundle Rules’ section and ‘Use Number of Days’ under ‘Calculation of Units’ on the Generate from ISP Data Page then the system will generate the billing data for only those days for which ‘billable’ ISP Data are recorded. 


For example, if a user selects a date range of 10 days (1st November to 10th November) to generate billing data using ISP and if the Individual has ‘billable’ ISP Data recorded for 3 days, then the billable units will be 3 units.

Billing Updates for Users in Minnesota

A new Bundling rule named ‘Date Span Bundling’ has been included under the ‘Bundle Rules’ section of the Attendance Type page. This bundling rule will be used for Minnesota Monthly and Semi-Monthly Billing where the maximum contiguous billable date span is used as date range.

New Billing Features for Users in New York

With this release Therap has introduced two new ‘Method of Data Collection’ options for the users of New York:

  1. MSC Billing: 

    • Users will now be able to create Service Authorizations with the Method of Data Collection as MSC on the Service form.

    • A new Agency Wide Role MSC Billing Conversion has been introduced. Users will need to be assigned with this role to be able to work with MSC Billing

    • To generate billing data with MSC Billing, users will need to have the following: 

      1. An approved MSC Note with the ‘Initial Key’ added and the ‘Is The MSC Billable:’ fields checked.

      2. An approved Service Authorization with the ‘Method of Data Collection’ as ‘MSC’. Users will be able to add only one service (with method of data collection as MSC) to the Service Authorization form.

    • MSC Billing link has been introduced to generate Billing data for Services with method of data collection as MSC. Billable unit will always be 1 unit for MSC Billing.

    • Users will be able to generate Billing data from the Generate from MSC page.

  1. Community Hab Billing: 

    • With this release users will be able to create Service Authorizations with the Method of Data Collection as Community Hab

    • A new ‘Agency Wide’ Role named Community Hab Billing Conversion has been introduced. Users will need to be assigned with this role to be able to work with Community Hab Billing

    • Users with administrative privileges will be able to set up the Service Description/Code for their agency. The following Service Description/Code with four types of ‘Service Validation Type’, needs to be created. 

      1. Community Hab – Group Size 1 

      2. Community Hab – Group Size 2 

      3. Community Hab – Group Size 3 

      4. Community Hab – Group Size 4

    • Once the Service Description/Code is set up for the agency, regular users will be able to create Service Authorization forms with these Service Description/Codes. The Services (on the Service Authorization form) must have the same Hab Plan Service Type.

    • 4 types of Services (with the same Hab Plan Service Type) need to be added to the Service Authorization: 

      1. Community Hab – Group Size 1 

      2. Community Hab – Group Size 2 

      3. Community Hab – Group Size 3 

      4. Community Hab – Group Size 4
Emoticon of Warning Users will be unable to add two Service Description/Code(s) with the same Group Size. 
For example, if a Service Description/Code (e.g. Service A) with ‘Service Validation Type’ as Group Size 1 is already added to a Service Authorization form, the system will display an error message if a user tries to add another Service Description/Code (say Service B) with ‘Service Validation Type’ as Group Size 1
    • To generate Billing Data with Community Hab users will need to have the following: 

      1. An approved Service Authorization with the method of data collection as ‘Community Hab’. For Community Hab Billing, Service Authorizations with overlapping date range cannot be created.

      1. An approved Habilitation Plan. The ‘Type of Habilitation Service’ field should be correctly mapped with the ‘Hab Plan Service Type’ field on the Service Descripton/Code form. 

        For example, if the ‘Hab Plan Service Type’ is selected as ‘Community Habilitation Hab Plan’, the ‘Type of Habilitation Service’ should be selected as ‘Community Habilitation Hab Plan’.

      2. An approved ISP Program. The following fields (as shown in the figure) should be selected under the ‘Other Details’ section of the ‘ISP Program’ form.

        Users must select the appropriate Group Count on the ISP Data Collection form, while recording ISP Data.

    • Community Hab Billing link has been introduced to generate Billing data for Services with method of data collection as Community Hab.
