Unlocking Efficiency, Enhancing Supports: Therap Services’ Impact on COF Training Services
Managing documentation across three counties presented a significant challenge for COF Training Services, Inc., a Kansas-based organization providing services to individuals with intellectual and developmental disabilities. With paper records dispersed across multiple locations, accessing essential information in a timely manner was difficult. Recognizing the need for a solution with real-time access to information, COF Training Services turned to Therap’s electronic documentation system.
“We have a lot of documentation,” emphasizes Dawn Brannen, Director of Auxiliary Services. “It takes a lot of documentation to cover somebody's whole life.” Providing supports to over 200 individuals, managing this documentation on paper had started to overwhelm staff at COF Training Services. “[Before Therap], we were losing a lot of documentation – along with the time it took to route all that documentation to where it needed to go. Especially if it was across three counties, it [took] days or weeks.” Brannen recalls. Accessing information in real-time has greatly improved the organization's efficiency, enabling staff to quickly retrieve and manage documentation without the delays of paper-based systems.
This access to documentation has been especially beneficial to the nursing staff at COF Training Services, who utilize Therap’s Medication Administration Record (MAR). “Our nurses can see information in real-time…and access it from anywhere,” says Brannen. This has given significant peace of mind to staff. “Even if by chance, a huge weather cell goes through and wipes out our electricity for a week…I can go anywhere else within our radius and print off [information] we need,” Brannen states. Since storing documentation electronically with Therap, staff at COF Training Services no longer have to worry about paper documentation being damaged or lost during storms.

Real-time access to information has also empowered staff to deliver better support to individuals. “Everything we do is based around our individuals. [Therap] created all these efficiencies for us to be able to do a better job,” Brannen says. “If I have an individual who is needing my assistance, I can log into Therap and I have all of the information I need to know about that individual at my hands.” The benefit of access to information also extends to the individuals COF Training Services supports. For example, an individual who wanted to know about upcoming appointments was given a Therap login and can now access their schedule at any time, allowing for greater awareness and independence.
Another way Therap benefits COF Training Services is by helping to streamline audit processes. “Our state licensor can [login to Therap], look at a case, and do her review from her desk,” explains COF Training Services’ Director of Compliance, Jennifer Star. “She doesn't have to travel the two hours to our agency and look at paper.” This has reduced the number of on-site visits needed to gather information, saving time on both sides. “It has made it so much smoother for our state people and they're so appreciative that they can look at our files [with Therap],” Star says.
The configurable structure of Therap’s system has provided COF Training Services with a flexible and efficient solution that meets its evolving needs. "That modularity about Therap is so helpful, so that we can tailor it to our company's current situation," Star notes. Therap has helped the organization streamline documentation, improve real-time access to critical information, and simplify audits – changes that staff claim made the transition from paper to electronic documentation worthwhile. “The ease of being able to use Therap and the efficiencies that it created for our agency – I could sit here all day and tell you why that's so important to us," Brannen says.
